Additional Information for Rentals at Aberthau
FEES AND CHARGES for Staffing
Supervision: $28 per hour
The supervision fee is levied for the duration of the contracted rental period, including set-up and clean-up.
For weddings and large functions, one staff person is required from the beginning of the rental up until 4 hours prior to the end of the event. The last 4 hours requires 2 staff people.
Please note that the renter is responsible for the behaviour of his/her/their guests while they are on the grounds (both inside and outside the facility). Any excessive noise, damage or late departure will result in a partial or total loss of the damage deposit and in some cases, liable for the recovery of costs of other damages that may be greater than the damage deposit.
SOCAN and RE:SOUND Fees
SOCAN fees are required to be paid for playing live or pre-recorded music as specified under the Copyright Act of Canada.

SET-UP AND CLEAN-UP

This fee is mandatory for weddings and large functions; optional for small functions.
The renter is responsible for the set-up and take down of any externally rented equipment that does not belong to West Point Grey Community Centre. The rental group is responsible for the removal of all their decorations/personal items within 60 minutes after all activities cease.
During Low Season, set-up can begin as early as 3:00pm on Saturdays and 1:00pm on Sundays. During June, set-up can begin as early as 11:00am on Saturdays and 12:00pm on Sundays. From July to Labour Day, set-up can begin as early as 10:00am on Saturdays and Sundays.
Due to the residential neighbourhood location of Aberthau Mansion, the City of Vancouver Bylaw requires functions to be concluded by 11:00pm on Saturdays and 10:00pm on Sundays. The rental group is responsible for the removal of all their decorations/personal items within 60 minutes and must vacate the facility by 12:00am midnight on Saturdays and 11:00pm on Sundays.
DECORATIONS
The renter can only use painter’s tape. The use of duct tape, scotch tape, packaging tape, nails, staples, pins, adhesive tape or any like material is NOT permitted on any walls, doors, or ceilings. No electrical plugs or outlets are to be tampered with in any way.
The use of candles, smoke machines, rice, table sparkles, glitter, confetti or any like material/equipment is NOT permitted inside the building or on the grounds.
KITCHEN USE AND CATERING
Catering of functions is permitted (Aberthau does not offer catering services). Note that the kitchen facilities may only be used to warm foods (food preparation must be done beforehand). The use of a barbeque or grill must be discussed and approved by the Rental Liaison at least 28 days prior to the event date.
The service of food and beverages is only allowed in the Oak Room, Lounge, Dining Room, and the Foyer area. Food and beverages are not permitted in the Library and Garden area at any time.
Caterers must clean the Kitchen if used, including spills in the fridge, on the stove/oven and microwave, and put all garbage in the big bin outside.
RENTAL EQUIPMENT DELIVERIES
Arrangements must be confirmed in advance with the Rental Liaison for deliveries of rental equipment between 8:00am to 10:00am on the rental day. This time is specifically for the delivery of rental equipment only. It is not intended for groups to have entry to the premises to drop off their personal items/decorations or for setting up/decorating.
All rental equipment must be picked up the day after the rental, between 8:00-9:30am.
ALCOHOL
A valid Special Event Permit (obtainable from the BC Liquor Store website) must be obtained to serve alcohol. A “Serving It Right” or “Special Event Server” certificate is also required for rental events. Liquor is restricted to wine and beer products. Hard alcohol, liqueurs and spirits are not permitted. The Special Event Permit is only valid within the building. No liquor is permitted outside the building at any time. The license must be posted where the alcohol is to be served. No alcohol is permitted outside the facility.
SMOKING
City By-Law prohibits smoking in rental facilities. It is the responsibility of the Renter to ensure their guests/members are smoking in the designated areas. A minimum of $250.00 fine will be applied if smoking occurs on the grounds or inside the facility.
NOISE
Please respect our neighbours. Noise should be kept at a moderate level. The Sound Decibel Level in the surrounding neighbourhood is not to exceed 45 dB and will be monitored by the rental staff. Staff will ensure appropriate decibel readings by use of a Decibel Reader Device. Amplified music is restricted to the Dining Room and Lounge; acoustic groups may perform in any room. Amplified music is not permitted outside the building.
If the ceremony is held in the garden, one speaker is allowed but it must be facing eastward.
FIRE REGULATIONS
The City of Vancouver’s Fire and Safety Regulations set limits of the capacity allowed in each space. It is the responsibility of the Renter to ensure that the limit is not exceeded. Violation of the set limit will result in cancellation of the event and forfeiture of the deposit. The maximum capacity is based on fire regulation on the total area. Access to all doors must be kept clear.
INSURANCE COVERAGE
The Rental Group is required to carry sufficient public liability and property damage insurance for their event at the West Point Grey Community Centre. A minimum of $2 million liability with the City of Vancouver, Vancouver Board of Parks and Recreation, and West Point Grey Community Centre Association named as additional insurers is required. Higher risk events including weddings, receptions, sports activities, etc. require a minimum of $5 million liability. A copy of the insurance certificate must be submitted to the Rental Liaison at least fourteen (14) days prior to the event.
The WPGCCA will not be liable for any loss or theft of or damage to any property of any participant in the rental, or for any injury to any such participant, resulting from any cause whatsoever. Without limiting the right of the WPGCCA to collect full costs for repairs or cleaning, costs of repairing any damage to the Centre caused by any guests/members in the rental, including costs of extra cleaning, will be deducted from the damage deposit. Any costs in excess of the damage deposit will be charged to the Rental Group.
BOOKING AND CONTRACTS
Wedding and large functions interested in booking the whole venue may be booked up to one year in advance. However hourly rentals such as meetings, birthday parties and recitals can be booked up to a maximum of eight weeks in advance.
Rental contracts for weddings and large functions must be completed in person. Appointments to tour the premises and to draft contracts may be made with our Rental Liasion. Please call (604) 257-8140. Contract details required:
- Event date
- Nature of event
- Number of attendees
- Duration of rental (including set up and clean up)
- Other notable items: set-up and clean-up time, person(s) in charge of the set-up/clean-up; rental delivery date, contact information for caterers and rental companies.
Upon confirmation of the rental contract, a deposit of $400 is required, for weddings and large functions, $100 of which is non-refundable. The balance of the rental fee payable twenty-eight (28) days prior to the event date.
For hourly rental bookings, the full balance is due upon confirmation of the rental contract.
CANCELLATION POLICY
For weddings and large function bookings, refund of the deposit is prorated. With at least five months’ notification $300 is refundable, four months’ notification $250 refundable, three months’ notification $200 refundable. There is no refund with less than three months’ notice.
For hourly rental bookings, Notice of cancellation must be received in writing and delivered to the Rental Coordinator. Thirty (30) days’ notice is required for refunds of 75% of the total rental cost. No refund will be given for cancellations with less than the thirty (30) days’ notice.
OTHER TERMS
No admission may be charged at the door for events held in the rented space. All fees/charges must be paid in advance of the event. The grounds are available for use, but the West Point Grey Community Centre cannot guarantee exclusive usage or the condition.
